Special Education Adminstrative Secretary - School-based 

Are you looking to work in a school system to support teachers in meeting student needs? Well this is the job for you. This unique position allows you to work during the school year to make a difference in students, teachers, and families lives by completing the clerical duties following the Federal and State special education requirements under IDEA. With your help, teachers will be able to teach, students will be able to learn, and families will receive all of the required forms for their child.

The Special Education Administrative Secretary helps to support the Special Education team members at the building level with secretarial duties related to maintaining Individual Education Plan (IEP) Compliance.

Essential Requirements:

  • Associates degree or High School Diploma with two years of secretarial experience or other relevant experience
  • Proficient in computer skills including ability to learn new software
  • An ability to communicate effectively orally and in written form
  • Exceptional organizational skills and attention to detail
  • Ability to maintain confidentiality

Essential Responsibilities 

  • Assists to ensure compliance of all special education meetings and document timelines including scheduling IEP meetings.
  • Distributes a variety of IEP related documents in collaboration with the building special education team members. 
  • Ability to operate and navigate special education and district wide records software. 
  • Collaborate with case managers to complete and file IEP meeting packets within student cumulative files.  
  • Collaborate with special education and general education teachers in preparation for IEP meetings.
  • Maintains database in collaboration with special education team leader of all referred and identified students with IEPs. This will include notifying all persons involved in assessments as to consent, deadlines, responsibilities, and distribution of information.
  • Attend special education department and district meetings.
  • Attend IEP meetings and perform duties assigned by administration. 
  • Attend workshops and conferences in order to stay current with special education regulations, procedures, and paperwork as requested by the supervisor.
  • Collaborates with the Central Office as needed.
  • Maintain strict confidentiality of all special education information.
