Falmouth Public Schools seeks a highly organized and professional Executive Administrative Assistant to the Superintendent of Schools.  The successful candidate will play a critical role supporting and enhancing the communication between the Superintendent of Schools, the School Board, and Falmouth School staff.   

The ideal candidate will:

  • Enjoy developing and maintaining strong relationships with colleagues, and being part of a collaborative Central Office team
  • Manage uncertain and stressful situations with poise, calm, a sense of humor, and a big heart!

This position reports to the Superintendent of Schools, while also providing support to the Director of Learning. Job responsibilities include but are not limited to:

  • Take accurate notes, post Agendas and Minutes, and ensure compliance with procedural rules for all School Board Business and Committee Meetings
  • Coordinate event logistics (facilities, technology, etc.) for School Board, Leadership Team, and District-wide meetings and events
  • Ensure compliance with Department of Education procedures around Superintendent waivers, homeschool situations, tuition students, out of district placements, work permits 
  • Organize and manipulate data for presentation; update several Maine Department of Education Databases and Sites with staff information, student data, etc. 
  • Manage the course reimbursement program for staff, as well as registrations and arrangements for staff across the district to attend conferences, workshops, etc.
  • Create purchase orders for Central Office as needed
  • Proof and send district communications
  • Manage and update the District website with accurate information
  • Track FOIA requests
  • Provide positive presence with visitors to office and on phone (reception, public-facing)

Additional:

  • The successful candidate must hold or be eligible for a valid Maine fingerprinting certificate, as well as pass a district-run background check. 
  • Pay commensurate with education and experience.

  • Full-year, 40-hour a week position with vacation, sick leave, and paid holidays.
