SUMMARY: Maintains confidential special education student records. Assists the Director of CLIMB by performing secretarial duties such as keyboarding, scheduling of IEP meetings, responding to telephone calls and maintaining files. Assists the Mainecare billing secretary with billing for CLIMB.
SALARY: $19.57 - $24.10

- Types correspondence such as letters and memos, reports, forms, etc. for the Special Education Department.
- Answers routine telephone inquiries regarding department programs and procedures.
- Takes messages and routes other telephone calls.
- Maintains student special education records.
- Maintains supplies of all special education forms.
- Keeps confidential matters confidential.
- Operates office equipment such as copiers, calculators, computers and fax machines.
- Reviews Written Notices for determinations for projection reports
- Updates data and sends Projection Reports weekly to Dingley’s Special Ed office.
- Schedules meetings and sends out Advance Written Notices, Prior Written Notices and IEPs.
- Compose list, maintain spreadsheet, of students for all related service providers (clinicians, BCBAs, Speech, OT and PT)
- Track state agency clients (SAC).
- Update and maintain Adori and Acuity
- Update/maintain spreadsheet for annual and triennial dates.
- Schedule evaluations and track 45 day deadlines.
- Track IEP and Written Notice deadlines.
- Organizes and monitors special transportation.
- Manages powerschool functions such as attendance, student demographic information, printing of report cards and other education related data.
- Coordinate with MaineCare Billing Secretary for parent communication (scheduling meetings, releases of information, paperwork, updating demographic information, etc)
- Work with the Multi-Lingual (ML) department to ensure interpretation and translation is available, when appropriate.

EDUCATION and/or EXPERIENCE:
High school diploma or general education degree (GED). Must be proficient with MS Word and Excel, Google docs and sheets.
LANGUAGE SKILLS:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before parents, staff and students.
MATHEMATICAL SKILLS:
Ability to add, subtract, multiply and divide in all units of measure using whole numbers, fractions, and decimals.
REASONING ABILITY:
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
OTHER SKILLS and ABILITIES:
Ability to operate a personal computer and related software. Knowledge of special education procedures to maintain appropriate confidential records. Ability to develop effective working relationships with students, staff and the school community. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and School Committee policies.
