-Administrative Assistant to the Special Education Department- 

MSAD 41 is seeking an Administrative Assistant to the Special Education Department. MSAD #41 is located in beautiful Piscataquis County and has a student population of approximately 600 students over three schools: Milo Elementary School (PK-2), Brownville Elementary School (3-4), and Penquis Valley Middle High School (5-12). This is a full-time position beginning July 1, 2025. 

 

A successful candidate will:

  • The ideal candidate is highly organized, detail-oriented, and able to manage multiple tasks
  • The Special Education Secretary provides vital administrative support to the special education department.
  • Key responsibilities include processing managing the special education calendar and organizing referral paperwork
  • This role also involves coordinating communication between staff, families, and service providers while ensuring all documentation is accurate and confidential in a fast-paced environment.
  • Strong communication skills and the ability to maintain confidentiality are essential in supporting students, staff, and families throughout the special education process
  • Additional duties may be assigned as needed to support the Special Education Department and the Director of SPecial Services. 
  • Schedule and maintain the special education department's calendar, including meetings, evaluations, and deadlines
  • Manage transportation schedule for the Special Education Department
  • Coordinate with teachers, specialists, administrators, and parents to ensure timely scheduling of Individualized Education Program (IEP) meetings and other required appointments
  • Process and track special education referral paperwork for students in grades K-4
  • Ensure all required documentation is completed and submitted in compliance with district and state special education guidelines
  • Maintain organized and confidential student records, both electronically and in physical files
  • Assist in preparing reports, forms, and communications related to special education services
  • Serve as a point of contact for parents, staff, and outside agencies regarding special education processes
  • Support special education staff with clerical and logistical tasks as needed
  • Perform other duties as assigned by the special education administrator

Qualification requirements:

  • Minimum of high school diploma or GED/HiSET equivalent
  • Proficient in written and oral communication skills
  • Ability to learn and implement new technology programs
  • Proficient in the use of office equipment
  • Ability to organize including managing and prioritizing tasks simultaneously
  • Ability to interact well with school personnel, students and the public
  • Ability to support the accurate and efficient management of the school budget.
