JOB TYPE: Contract, Part Time

SALARY: $25/hour, 20 hours/week 

REPORTS TO: Operations Director

START DATE: IMMEDIATE (school starts August 27)


The Ecology Learning Center is a public charter high school in Waldo County, Maine with the mission to deeply root students in Maine’s ecological and cultural landscapes, foster authentic real-world learning through mentorship and craft, and cultivate compassionate and resilient leaders prepared to engage in the challenges of today and tomorrow.  The Ecology Learning Center accomplishes its mission through the work of a public charter high school, community workshops, and a homeschooling enrichment program.  

 

The Ecology Learning Center opened September 1, 2020 with just 48 students (grades 9-10) and currently enrolls 120 students (grades 9-12). The Center was authorized as the tenth and final charter school in Maine following a rigorous application process and operating a successful pilot program from 2018 to 2020.

 

We believe all students have the right to rigorous, relevant, and joyful learning experiences led by exceptionally talented and diverse educators who promote student achievement and a sense of belonging. Our goal is to prepare students for college and careers while focusing on rural community development and environmental stewardship.

 

We are seeking a diligent, highly independent bookkeeper to manage the financial bookkeeping for our small public charter school.  The ideal candidate will work closely with the Executive Director (Head of School), Operations Director, and third-parties to ensure compliance with internal controls, labor and tax laws, grant-related regulations, and Charter Commission requirements. 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

Bookkeeper

  • Prepare and process accounts payable, accounts receivable, and vendor disputes.
  • Maintain a complete and systematic set of records of certain financial transactions of the charter school. 
  • Record details of financial transactions in appropriate journals and subsidiary ledgers from such sources as requisitions, payroll records, etc, and assure that they align with DOE codes
  • Trace errors and records adjustment to correct changes or credits posted to incorrect amounts. 
  • Generate monthly Finance Committee reports (including Balance Sheet, P&L, Budget vs. Actual, Cash Flow from QuickBooks) forOperations Director to review and provide to Board for approval.
  • Work with the Operations Director to help provide support and answers to any QuickBooks related budget and reporting questions.
  • Input expenses and bills for the Operations Director to print checks and distribute to vendors.
  • Record accounts receivable and make deposits for the school.
  • Other job-related duties as assigned by the Operations Director related to QuickBooks.

Administrative Assistant

 

  • Hold a welcoming space at the front desk for students, staff, families, and visitors
  • Answer the school's central phone OR delegate and oversee this task to a volunteer
  • Sort and deliver incoming mail
  • Aid Special Education staff with administrative tasks such as: requesting, mailing, filing documents, assigning meeting locations, etc.
  • Work collaboratively with Registrar & Dean of Students to manage attendance records
  • Oversee permission slips, tickets, and sales for field trips and student-led fundraisers

 

QUALIFICATIONS

  • Minimum of three years' experience as a full charge bookkeeper preferably with a publicly-funded school or educational non-profit.
  • Must be competent in use of modern technology associated with the operation of a business office including Quickbooks, Excel spreadsheets, and Google docs. 
  • Highly responsible, self-motivated, and capable of working with minimal supervision
  • Be able to successfully pass all background, criminal record, fingerprinting, reference checks
