Position Overview: We are seeking a highly organized and detail-oriented Part-Time Assistant to support the Pre-Apprenticeship Program. The ideal candidate will have a strong administrative background, excellent communication skills, and a commitment to fostering an inclusive environment. This role is essential in managing day-to-day operations, maintaining records, and facilitating the intake process for potential students.

Key Responsibilities:

Provide administrative support to the Pre-Apprenticeship Manager and Apprenticeship Business Coordinator, including scheduling meetings, managing calendars, and coordinating communications.

Conduct some intakes and assessments for potential students, ensuring a smooth and welcoming experience.

Maintain organized filing systems and assist with data entry to keep student records accurate and up-to-date.

Regular follow-up and connections with pre-apprentices and apprentices to ensure grant requirements are met

Handle sensitive information with discretion, ensuring compliance with school district privacy policies and regulations.

Utilize Google Suite and Microsoft Office to create and/or update documents, spreadsheets, and presentations.

Collaborate with a diverse population, demonstrating strong cultural competency and excellent communication skills.

Assist in the preparation of reports and presentations as needed.

Qualifications:

Associate’s Degree or higher in a related field or documented experience of at least 4 years.

Minimum of 2 years of experience in a clerical role, preferably in an educational or training environment.

Proficient in Google Suite and Microsoft Office applications.

Strong organizational skills with a keen attention to detail.

Experience with file management and data entry.

Ability to handle confidential information with integrity and professionalism.

Excellent interpersonal skills with the ability to communicate effectively with a diverse audience.
